Guidelines for Submitting Full-Text Electronic Reserve Requests

Electronic reserve requests are welcomed throughout the semester.

Submission requirements

  • Complete list of full bibliographic citations, including information for electronic sources [more info], in the body of an email or attached as Rich Text Format or MSWord Format
  • Complete set of readings in digital or print format
  • The required information on reserve form available on the library homepage under "Services" or at http://www.ulib.niu.edu/reserveform.cfm
  • Syllabus or readings assignment schedule (recommended)

Format for submission

  • Paper -- must be clean, one sided, and not stapled; scanned by RPM staff in PDF format
  • Online Source -- Stable address to database, online journal, or other full text source (if available)
  • Digital -- MSWord, RTF, HTML, Plain Text, PDF; email attachment or floppy disk

Only required readings may be placed on electronic reserve.

Maximum of 25 titles per course.

Copyright Compliance
Full-text Electronic Reserves are subject to existing Reserve Services policy and the Copyright Law. Reading requests that comply with fair use guidelines will be placed on electronic reserve. A reasonable interpretation of fair use would be one chapter of a book or one article from a volume of a journal. Faculty will need to secure permission for more extensive excerpts.

Access

Reserve staff will inform the instructor of the URL once a web page is created. Faculty will share the URL with only the students enrolled in the class.

All scanned material will be saved in Portable Document Format (PDF) format. Students will need to access the readings using an Adobe reader. (See below)

For copyright compliance, do not print the URL on the syllabus. All electronic access to the readings should be limited to direct access to the URL. Do not link the readings to your homepage unless the homepage itself is password protected.

The link will be broken at the end of each semester. A new URL will be assigned if the readings are requested for subsequent semesters. Readings will be stored for up to two years before they are permanently removed from storage.

Adobe Reader Installation

  1. Access Adobe website
  2. Fill in information for Acrobat Reader version
  3. Click on "download" as directed
  4. Before clicking "Save" to start downloading, select location where file will be stored on your computer; download may take 1 hour
  5. After download is complete, locate and double-click the newly downloaded file
  6. Follow installation instructions on screen
  7. Installation procedure will ask user to read and accept the Electronic End-User License Agreement

Once installed, the reader will automatically launch every time a Portable Document Format (PDF) is opened.

Printing of PDF format files can be extremely slow. Be prepared to allow sufficient time for each reserve reading to print.


Accessibility for all students is important to the Reserves Processing staff. Instructors are encouraged to inform us as soon as possible if any students require special adaption for visual, mobility, cognitive, or learning disabilities.
