Members of the CCMCC met on Friday, September 22, 1995 at the Augustana College Library. The meeting began at 10:30 a.m. Chair Barbara Doyle-Wilch welcomed Suzan McGinnis, outgoing interim CCMCC Coordinator, and Cecile Jagodzinski, incoming interim CCMCC coordinator.
FY96 funding update
Fred Peterson gave an update on FY96 funding. He has received official notice from the IBHE that the CCMCC has been funded for $200,000 for the year, rather than the $300,000 which had been requested. The Committee's objectives will need to be revised in light of this reduction in funding, which occurred as a result of some redistribution of funds to research in agriculture within the state. Fred plans to ask Bridget Lamont to provide additional funds for administrative costs for the Committee.
A general discussion followed on the possible need to consider the CCMCC's role in relation to other cooperative groups in the state, how to address the collections concerns of non-academic libraries, the necessity to engage the interest and cooperation of bibliographers at the local level. There was a general consensus that CCMCC funds be used, in part, to fund evaluative projects this year in an effort to direct further expenditures on materials in a meaningful way. The OCLC/Amigos Collection Analysis CD, OCLC's Interlibrary Loan project, and ISI's citation analysis service could all be potentially useful.
Fall Forum
The group discussed the format, length, and purpose of the proposed Fall Forum. It was agreed to hold a one-day meeting in the Chicago area, with invitations sent not only to the "Illinois 27," but also to library Systems directors, the IACRL/IBHE liaison Commmittee, ILCSO members, the ten largest community college libraries, and the libraries of 4-year colleges. Directors, collections officers, interlibrary loan librarians, and a bibliographer from each institution will be invited.
Barbara Doyle-Wilch will invite Barbara Allen to be the keynote speaker for the meeting. Several members of the Committee are to draft a list of issues and questions which need to be addressed at the Forum; these will be used to help formulate the agenda for the meeting:
Collection analysis -- Suzan McGinnis
Interlibrary Loan -- Karen Schmidt
Other cooperative ventures in the state -- Allen Lanham
Process of materials selection -- Tom Peters
Role of various types of libraries -- Cecile Jagodzinski and Alan Nourie
Additional presentations will include an explanation of the planning document, A Plan for Collaborative Collections Management among Illinois Libraries and an evaluation of the Model Discipline project thus far.
Process for Election of New Members
Four members of the Committee are to be replaced this year. Cecile Jagodzinski will solicit one nomination from each institution currently not represented on the Committee, including those whose terms are ending. The institutional nominee may be a director or a collection development person. All 27 libraries will vote for two directors and two collection development people from the list of nominees. The election will be conducted within the next month by fax and/or e-mail; new members will be seated at the next meeting of the Committee.
After some discussion, it was agreed that committee membership would coincide with the fiscal year. Therefore, those Committee members whose term began in February 1995 will serve through FY97. The newly elected members will serve from FY96-FY98, and so on.
Currently Funded Projects:
Chadwyck-Healey CD's
Cecile Jagodzinski reported that she had mailed licensing agreements to the libraries who had selected Editions and Adaptations of Shakespeare, and that the CD's would be sent to individual institutions, rather than a central address. She will contact Keith Allen about the shipment of the African-American Poetry database to the remaining libraries. Chadwyck-Healey has prepared a press release on the purchase, which will be sent to the library press. Doris Brown strongly urged us to continue to maintain a working relationship with the company, and that we follow up on the purchase of the alternate CD for those libraries which were interested.
Model Disciplines
Allen Lanham reported that the transfer of money from Eastern to libraries participating in the science model discipline project was to commence today, Sept. 22. Cecile Jagodzinski will report to Doris Brown the names of contact people for the education model discipline so that DePaul can disperse those dollars, as well as solicit a signed agreement from the new education area included in this year's funding. She will also request a summative report and list of acquisitions for FY95 from the bibliographers who selected materials for each subject area.
A method for evaluating this project will be drawn up by Doris Brown, Carol Covey (Western), Alan Nourie, Nancy O'Brien (UIUC), and Tom Peters. Doris will convene the group.
Curriculum Materials Web Page
Joan Fiscella (UIC) has hired paraprofessionals familiar with HTML to begin work on this project, has purchased some equipment, and has developed a method for soliciting comments and input from other curriculum librarians within the state. Suzan has asked her to have a prototype ready for presentation at the Fall Forum.
Publicity/brochures
A copy of the Plan and brochures on the CCMCC will be sent to those invited to the Fall Forum.
Other Business
A new chair will be selected from current members of the Committee; C. Jagodzinski will query the Committee via e-mail to determine interest.
F. Peterson and B. Doyle-Wilch will do a new tentative budget based on the $200,000 funding. Evaluative studies, special projects, and administrative costs are to be figured in.
B. Doyle-Wilch will send a follow-up letter to those whose FY96 proposals had merit but needed strengthening. Some time at the Fall Forum will be devoted to discussion of these proposals.
C. Jagodzinski is to inquire into the date of the next Liaison Committee meeting so that the CCMCC is represented.
The next meeting of the Committee will be held at Northern Illinois University at 10:30 on October 23, 1995.
The meeting adjourned at 2:30 p.m.
