Jean Wilkins joined the meeting to welcome the group to the Illinois State Library.
Mary Munroe called the meeting to order at 10:35 a.m.
1. Approval of minutes
Elizabeth Clarage noted a change in the minutes to reflect that the Team Illinois white paper would be among the handouts at the ICCMP Membership Meeting held on May 17, 2004. Linda Morrissett made a motion to accept the minutes as amended of the April 30, 2004 ICCMCC meeting. Carla Tracy seconded the motion. The minutes were accepted by voice vote.
2. Report from Director
Databases:
Stat-USA. Subscription and renewal information went out this past week.
ABC-CLIO. 24 subscribing institutions. 42 subscriptions. 1 institution cancelled 1 subscription. 2 institutions moved from 2-6 simultaneous users to 1 user. 1 institution added one subscription. 1 new subscribing institution. 1 institution moved their subscription from going direct to subscribing through the consortium (on their 25th month they will receive the consortium discount).
LexisNexis. 54 subscribing institutions. 133 subscriptions (50 of those Academic Universe – 3 new subscribers, one institution switched from another consortium; 8 community colleges). 7 schools cancelled 13 subscriptions. 3 institutions added 4 titles.
ACS e-journals. In talks to find out what options are available for the consortium.
Project Muse. Had one school join the offer with a start date of March 1. Their access has been suspended pending payment from the consortium. The consortium is waiting for payment form the institution
Columbia University Press – initiated discussion for a consortial offer of their electronic products.
Electronic Database Survey – update. Working with the other state consortia on the results of the survey.
Web Page:
Continued to update the ICCMP website. Candidates' statements for the Coordinating Committee election were added on June 4th.
ILCCM Listserv:
As of June 9, 2004, the ICCMP listserv (ILCCM) had 149 members - the same number of subscribers in April. There were changes in membership on the list. Members represent 63 institutions, 2 vendors, 1 library system, and 1 other.
Conferences:
The director attended the Book Expo America Conference in Chicago this past week.
3. Budget report
The budget was distributed. Elizabeth Clarage noted that although there still was a positive balance purchase of equipment and payments for meeting expenses will expend almost the entire amount remaining.
4. Taskforce Reports
a. Continuing Education What Preservation in the Medium to Small Libraries Spring Program / Workshop
The workshop was held at the Levis Faculty Center on May 14, 2004 at the University of Illinois at Urbana Champaign. There were 25 paid attendees, 22 participants, and 19 evaluations returned. The evaluation numbers are even better than those for last year's workshop; however, there was agreement among the participants that there was not enough time for discussion.
b. Assessment (Mary Munroe)
After the ICCMP Membership Meeting on May 17th, Mary Munroe met with a group to work on the statewide mapping portion of the collection assessment. The group includes Carla Tracy from Augustana College; Marlene Slough and Karen Whisler from Eastern Illinois University; David Hamilton from the Illinois Digital Academic Library; Susan Braxton and Vanette Schwartz from Illinois State University; and Carol Covey from Western Illinois University. They have divided the state into 6 parts and will also do an analysis by language (non-English) and on the state overall. The final project will include several sets of graphs. Text portions will include an introduction and some bullet points on the project. They next plan to meet in July. They hope to finish the report by the end of August.
OCLC is planning a usability study on the ACAS product. Mary Munroe will be participating.
5. Membership Meeting, May 17, 2004 - recap
There were 63 registered to attend the membership meeting. 52 attended that include two institutions that did register. There was a quorum present at the meeting. Mary Munroe led a discussion on the Team Illinois White Paper. The members present voted on an item that was presented to them in the discussion points that were developed prior to the meeting.
The ICCMP endorses a continuing dialogue this year with other consortia/groups that moves our state towards an increasingly cooperative, efficient, and responsive organization.
This item was then sent back to Team Illinois. The group decided that an open call for ICCMP representatives would be sent to all ICCMP members and that the Coordinating Committee would select the representatives prior to May 31.
6. Report from Transition Board (Mary Munroe, Sally Duchow)
David Carlson has convened the members. The first meeting will be on July 6, 2004. The group's new title is "Vision and Leadership Transition Team (VLT)."
7. Report from the Nominating Committee (Sally Duchow, Linda Morrissett, Marlene Slough)
The Nominating Committee developed a ballot to fill three positions. Sally Duchow was the chair of the committee. All nominations were sent to Elizabeth Clarage, which were forwarded to the chair. The statement of interests are available on the ICCMP website and were sent with the ballot and ballot instructions to the library director of each voting institution. The committee held two conference calls, one prior to the call for nominations and one to finalize the ballot. All ballots must be received by 5 p.m. on June 30, 2004. The votes will be tallied on July 1 and the committee will hold another conference call on that day.
8. Set a Date for the August 2004 Meeting
The Coordinating Committee of ICCMP will meet on August 27, 2004 at Augustana College.
9. Subcommittee to Evaluate the Executive Director
If anyone would like to serve on the subcommittee to evaluate the executive director, send a message to Jay Starratt.
10. Appreciation to Those Going Off the Committee
Mary Munroe made a motion, "The Coordinating Committee of the ICCMP has great appreciation for Sonia Bodi, James Cubit, Sally Duchow, and Karen Schmidt for their service to the organization and great appreciation to Jay Starratt for his work as Chair of the Coordinating Committee this past year. Their time, energy, and creativity have made ICCMP a better organization." Linda Morrissett seconded the motion. The motion passed unanimously.
Elizabeth Clarage also noted that if those that are leaving the committee would contact her with name, title, and address, a formal letter of appreciation will be sent on behalf of ICCMP.
