Jay Starratt called the meeting to order at 10:40 a.m.
1. Approval of minutes
Mary Munroe made a motion to accept the minutes of the October 31, 2003 ICCMCC meeting as received. Sally Duchow seconded the motion. The minutes were accepted by voice vote.
2. Report from Director
Membership:
ICCMP has one new member as of last week. Morton College of Cicero joined the consortium.
Databases:
Stat-USA. Subscription and renewal information will be sent out within the next month.
ABC-CLIO. Subscription and renewal information was sent out on March 30. Deadline on the current offer is May 19, 2004.
LexisNexis. Subscription and renewal information was sent out March 26. ICCMP works with SOLINET for access to LN Academic Universe. For all other titles, ICCMP works directly with LexisNexis. The due date for this offer is today.
ACS e-journals. Twenty-nine schools participated in this renewal. One school joined this offer this spring.
Project Muse. This spring, ICCMP has had one school join the offer and one school upgrade their subscription package.
EDRS E*Subscribe. Current subscription runs through October 31, 2004. Service itself ends September 30, 2004. One month of the subscription cost will be refunded to subscribers; I do not have a date that this will happen.
eHRAF, Ethnography. Had one school join this offer this week.
eHRAF, Archaeology. HRAF decided that they interpreted the license agreement incorrectly. Price defaulted back to the original levels. This service was offered through the consortium.
Blackwell e-journals. Had one school cancel their subscription. Thirteen total subscribers.
Web Page:
Continued to update the ICCMP website. Changed some wording. Under meeting information, now a link called “Past Meetings & Minutes.” Older meeting webpages will migrate to this page after a meeting has been held. Meeting pages were created for our two upcoming meetings.
ILCCM Listserv:
As of April 29, 2004, the ICCMP listserv (ILCCM) had 149 members compared to 142 members last October. Members represent 64 institutions, 1 vendor, 1 library system, and 1 other.
Conferences:
The director attended the ALA Midwinter Conference in January, the ICOLC meeting in March, and the IACRL pre-conference and conference at the end of March beginning of April.
Directors Meeting:
There were 54 paid registrants for the ICCMP annual directors meeting last December. Jean Wilkins gave an update on the Illinois State Library. Sue Martin was our speaker.
The director brought to the attention of the Coordinating Committee the extraordinary computer work that Theresa Paulson of NIU has given to ICCMP. The Coordinating Committee agreed at this point to send a letter of appreciation to Theresa Paulson for her work.
3. Budget report
Art Young distributed the current ICCMP budget. After a brief discussion, Karen Schmidt made a motion that ICCMP send whatever residual funds that remain in its budget at fiscal year end to the Illinois State Library to support preservation and last copy projects. Jay Starratt seconded the motion. The motion was passed by voice vote.
4. Review Grant Proposals
The committee reviewed the twelve grant proposals.
The committee decided that a letter of appreciation will be sent to Allan Lanham and Nackil Sung of Eastern Illinois University for their compilation of the grant scores into the packets the Coordinating Committee uses to review the proposals. This continued support of ICCMP is greatly appreciated.
5. Taskforce Reports
a. Continuing Education Subject Bibliographers (Sally Duchow, Linda Morrissett, Marlene Slough, Elizabeth Clarage)
Evaluations of the January 30, 2004 meeting were distributed at the meeting. There were 76 paid registrants. Seventy-two people attended the meeting.
b. Continuing Education What Preservation in the Medium to Small Libraries Spring Program / Workshop (Karen Schmidt, Elizabeth Clarage)
The workshop is scheduled for May 14, 2004 on the University of Illinois at Urbana Champaign campus. We are waiting for the final registration numbers to determine the exact campus location for the meeting. We may in the future wish to state before opening registrations that a certain threshold must be met for a meeting/workshop to take place.
c. Assessment (Mary Munroe)
OCLC has decided to reengineer the ACAS product and are no longer selling the version that ICCMP has purchased. They will move the product off the mainframe and onto an Oracle server. Our data is our data, and our access to the data on the website will remain until we no longer wish to access it.
The new system is scheduled for release in Spring 2005. This product will most likely be cheaper. It should be compatible with the data that we currently have. OCLC will be redoing (slightly) the conspectus level. Glenda Lins will still be the project manager.
Mary Munroe is still receiving almost daily calls on the data and its use from project members. The statewide mapping group is off and running. They hope to have a final map by the end of the summer. Not all the data presentations have been decided yet. When finished it will go up on the website and be available to give to state government members.
6. Nominating Committee
Jay Starratt called for volunteers for the nominating committee to fill the upcoming vacancies on the Coordinating Committee. Linda Morrissett, Sally Duchow, and Marlene Slough will be the committee. The subcommittee will determine its chair.
Elizabeth Clarage will set up a conference call for the group.
The committee decided that a call for nominations should be sent. The votes will be sent directly to the ICCMP office.
7. New Business
a. Discussion of the Team Illinois Visioning Report
The Coordinating Committee held a lengthy discussion of the Team Illinois Visioning Report.
The goal for our membership meeting is to find the consensus of the group on the direction that ICCMP should move.
Jay will welcome the attendees and give a background and context to this meeting. Elizabeth will give a brief history of the organizations involved and their current governance structure. Mary Munroe will go over the position paper to be distributed by the Coordinating Committee.

b. Membership Meeting, May 17, 2004
The meeting is scheduled for the Circus Room in the Bone Student Center on the Illinois State University campus. Currently there are 43 registrants.
8. Announcements
Barbara Alexander announced that the Illinois State Library eRICH program is currently available. Everyone should keep an eye out for the ISL grants. Richard Norton Smith of the Abraham Lincoln Presidential Library spoke at a recent ISLAC meeting. He plans Smithsonian quality exhibits for the new library. Also, e-mail service at the ISL is currently intermittent – that is the reason for some duplicate messages being sent.
Jay Starratt made a motion to adjourn the meeting. Sally Duchow seconded the motion. The meeting adjourned at 3:15 p.m.
